Conflicting Report Data and Exporting Troubles

While reviewing data from a non donors report, we found known donors with no 'last gift' dates or amounts after a specific date (our upgrade to 1.0.1). We were a bit relieved after consulting the website to find an upgrade to 1.0.2 could potentially address the problem, so we upgraded to the 1.0.2 version.

We then reran the query with the same results (i.e. records showing up as non-donors in a report through the people section and as donors in a report under the payments section). As an added feature, the database now will freeze up when attempting to export data from the import/export button (30+ minutes with no results or recourse save shutting down). Exporting data from the payments section is no problem.

The good news, records ‘looked up’ individually--both pre and post 1.0.2 upgrade—show an accurate payment history and a date/amount in the 'last pmt' sections of the 'people' screen

You have two very different issues here. The issue with freezing is something I have never seen or heard of before when exporting data, and I personally have tried this in 1.0.2 with over a dozen client databases. If you think you found a freezing bug we will of course look into it for no charge, but you need to be more specific about what you were trying to export. So how many records were selected, and what fields were you trying to export? Perhaps you had an unusual combination of export fields... in which case we need to see your export specification. Please save the export specification before you click the export button and if the freeze occurs, file a bug report and attach the export specification to the report.

As for the query showing unexpected results, I have good news for you. Not only do you need the new version but you also need to apply the new algorithm for determining 'last gift date' and 'last gift amount' to existing records. This is an option under Mass Action -> Mass Set Gift Dates. In 1.0.2 this will recalculate both the last gift date and the expiration date, for either your currently selected records, or for your entire database. This will likely correct any confusion. The new algorithm is simply a lot smarter than the old one...

Thank you for your suggestions. It is very encouraging to know there is a means to address the 'last gift date' issue.

That said, I went into the database to use the function under 'mass action' and found myself mystified. 'Mass set gift dates' was not listed as an option. (version 1.0.2 was running ).

Any ideas?

It's there.

1) Select 2 or more records
2) left click the button Mass Action. Mass Update window will appear.
3) on the right side of screen, under Special Maintenance Tools, is the function 'mass set gift dates'

Please note that your organization can obtain telephone support for a relatively low cost and thus have immediate, interactive answers to questions like these.

Mass Set Gift Dates

Many thanks for your continued patience/assistance.

I was able to run the 'Mass Set Gift Dates' command (once I determined the right from left click)through the mass action section. Then after deselecting the "occupationoldID" button, I was able to again export the data. All seemed to run very well/swiftly. Upon reviewing the data, I found there are now absolutely no last gift dates or amounts (still in individual payment history)on the report. With high hopes, I reran the command with the same unfortunate outcome.

I just ran the export command in our internal copy of ODB using both 1.0.2 and 1.0.3 and made sure that the LastGiftDt and Lastgift fields were checked off. It worked.
If you see this data within individual ODB records, within the People Entry screen, then I am certain it will show up in an export.
Are you saying that the data does not show up in individual ODB records as well after 'mass set gift dates'?

p.s. We did make some enhancements to the feature to update gift dates that will be rolled out in the next 2 weeks, but I don't think these will affect your question at all.

problem resolved

This issue was resolved in a few minutes when the user called the ODB support line. There was an ODB setting that needed to be reset to default, and it fixed this issue quickly.
